What you need

  • Use Word desktop on Windows. The same Document Inspector workflow is not available in Word for Mac or the web.
  • Decide the intended final content and review unresolved tracked changes.
  • Prepare a copy with a name and location distinguishable from the editable original.

1. Preserve the editable original

Information removed by inspection may not be recoverable with Undo. Confirm that you are working on a sharing copy before removing data.

  1. Use File → Save As or Save a Copy to create a clearly named delivery document.
  2. Check the title bar and destination to avoid confusing the copy with the original.
  3. Perform the following inspection and removal on that copy.

2. Resolve the intended content before inspection

Hiding markup does not remove tracked changes from the document. First accept or reject changes according to the intended text, keeping editorial decisions separate from removing personal information.

  1. Review tracked changes on the Review tab and accept or reject them individually as appropriate.
  2. If an essential explanation exists only in a comment, decide whether to incorporate it into the document.
  3. Verify the resulting text and save.

3. Choose inspection categories

Inspection includes categories such as headers and footers as well as personal information. Read the results with a specific removal goal.

  1. Open File → Info → Check for Issues → Inspect Document.
  2. Select relevant categories, such as comments and revisions or document properties and personal information, then choose Inspect.
  3. Read the detected categories and check whether any contain information you still need.

4. Remove selected categories and reinspect

Remove All removes the information in that category. Avoid removing needed headers or annotations when your goal is only to remove author details.

  1. Select Remove All beside only the results you intend to remove.
  2. Select Reinspect and review remaining categories or information that cannot be removed automatically.
  3. Save, close, and reopen the sharing copy.

5. Inspect content beyond the automated check

The inspector may miss white text on a white background or information covered by another object. Automated inspection does not replace reviewing the pages and the actual file you will attach.

  1. Review headers, footers, comment displays, and areas around shapes or images.
  2. Check document properties for author details or descriptions you did not intend to share.
  3. If you edit and save again afterward, run another inspection immediately before sharing.

Limitations and requirements

  • Some removed information cannot be restored through Undo. Keep the editable original separately.
  • For documents with organizational sensitivity labels or managed properties, check sharing requirements before selecting removal categories.
  • Document Inspector does not automatically anonymize every name or address written in ordinary body text.

Is hiding tracked changes enough?

Hiding markup changes the view. Finalize the text by accepting or rejecting changes, then inspect the delivery copy.

Is Document Inspector in the same place on Mac or the web?

The same feature is not available there. Mac supports manual property inspection, while this automated workflow targets Word desktop on Windows.
