STEP-BY-STEP GUIDE

Outlook cannot preview PDF, Word, or Excel attachments

What to do first

Use a saved copy to separate a file problem from an Outlook-only preview failure. Check classic Outlook settings and PDF-specific conflicts before considering any mail-data reset.

This is a general troubleshooting guide, not an announcement of a current outage.

Affected products and symptoms

Product
Classic Outlook
Versions and conditions
Classic Outlook for Microsoft 365 / 2024 / 2021 on Windows 11. New Outlook uses different menus and preview behavior.

Symptoms

  • PDF, Word, or Excel attachments will not preview
  • Outlook says no previewer is installed
  • An attachment opens after saving but fails inside Outlook

Causes and conditions

Check attachment-preview settings, the installed Office or PDF software, preview-handler conflicts, and the attachment itself. Normal file associations and in-Outlook preview are separate checks.

Before you start

  • Verify the sender and purpose of the attachment. Do not open unknown or security-blocked files just to test preview.
  • Record the product, release, and bitness from File > Office Account > About Outlook. If there is no File menu, use the official new Outlook instructions.

Precautions

  • Do not change attachment-blocking registry entries or turn off Protected View or macro restrictions.
  • Changing the default PDF app does not guarantee that in-Outlook preview will work.
  • A preview failure alone does not require deleting a mail profile or PST file.

Step-by-step instructions

  1. 01

Read whether preview or access is failing

    #

Right-click the attachment, choose Preview, and record the full error. A warning that Outlook blocked an unsafe attachment requires a different response from a missing previewer.

Attachments embedded in the message body may not be previewable there. New Outlook and the web app do not use classic Outlook's Trust Center procedure; follow their tab in Microsoft's instructions.

  2. 02

Save a trusted copy and open it

    #

Use the attachment menu's Save As command and choose a new file name. Open that copy in Word, Excel, or your PDF app, and compare another trusted attachment of the same type.

If the copy opens normally, continue with Outlook preview checks. If its own app also fails, first investigate the file or ask its sender for another copy.

    Check before continuing

This separates file-content failure from the Outlook preview path.

  3. 03

    Inspect classic Outlook's preview settings

    #

Open File > Options > Trust Center > Trust Center Settings > Attachment Handling. Check whether Turn off Attachment Preview is selected.

If you want preview enabled, clear that option and check the relevant type under Attachment and Document Previewers. Leave organization-enforced settings to the administrator.

  4. 04

For Office files, compare the Office configuration

    #

Microsoft requires matching product releases of Outlook and the relevant Office application for attachment preview. Compare their product information under File > Account or Office Account.

Where the display-optimization option appears under Options > General, check whether best appearance or compatibility is selected consistently. For a mixed or managed installation, give these details to the administrator before changing installed products.

    Check before continuing

You can identify an Office-preview prerequisite that needs attention.

  5. 05

For PDFs, inspect PowerToys and the PDF previewer

    #

If PowerToys is installed, temporarily turn off PDF preview under File Explorer add-ons, reopen Outlook, and retry the same attachment. Microsoft documents that these handlers override existing handlers and can conflict with Outlook. Restore the setting if it makes no difference.

If using Acrobat Reader, compare its 32-bit or 64-bit architecture with Outlook. Microsoft's 2022 article lists mismatched bitness as one cause. Treat this as a configuration clue, not a universal current diagnosis; ask your administrator or Adobe about the supported configuration before uninstalling anything.

Check the result

  • Preview the same trusted attachment and a second file of the same type inside Outlook.
  • Confirm that the saved copy still opens in its own app and that only necessary settings changed.
  • If changing PowerToys, also check the effect on File Explorer PDF previews.

If the problem continues

  • For a PDF-only failure, collect the Outlook and Reader release, bitness, PowerToys usage, and saved-copy result for support.
  • If organization policy blocks attachments generally, ask the administrator for an approved sharing and viewing method.

Frequently asked questions

Why can I open a PDF but not preview it?

The app that opens a PDF and the component that previews it inside Outlook have different configuration paths. Check preview settings and conflicts, using successful opening of a saved copy as a diagnostic clue.

Does the same setting exist in new Outlook?

The Trust Center steps apply to classic Outlook. In new Outlook, use the attachment menu to preview, open in its app, or download, and follow Microsoft's new Outlook tab.
