What you need

1. Choose the sheet and print area

Selecting several sheet tabs can include them together in output. Select only the intended tab and exclude working columns or notes that should not be delivered.

  1. Select only the target sheet tab and clear any grouped-sheet selection.
  2. Select the intended cells and use Page Layout → Print Area → Set Print Area.
  3. If an old range remains, clear the existing print area and set it again.

2. Set one page wide and automatic height

Fitting columns to one page width is different from fitting the entire table onto one page. Long tables are often more readable across multiple vertical pages.

  1. Under Page Layout → Scale to Fit, set Width to 1 page and Height to Automatic.
  2. For a wide table, choose landscape orientation and the recipient's paper size.

3. Check clipping and scaling in preview

Even a valid setting can shrink output excessively when the print area includes blank columns or long notes. Review the range before changing the scale alone.

  1. Press Ctrl + P and verify that the print target is the active sheet.
  2. Inspect the rightmost column, headings, last row, and page count.
  3. If output is too small, exclude unnecessary columns, use landscape, or allow additional pages.

4. Review PDF scope and save

Inspect the PDF publishing options too. Choosing the entire workbook can include sheets beyond the one you just reviewed.

  1. Use File → Save As or Save a Copy and select PDF as the file type.
  2. In Options, choose the active-sheet scope and review any page-range setting.
  3. Choose standard quality when readability is the priority and save the PDF with a separate filename.

5. Review the actual PDF

Reviewing the finished file catches publishing-scope mistakes as well as layout issues. A PDF does not replace the workbook for editing formulas.

  1. Open the PDF from its destination and verify that it contains only the intended sheet.
  2. At a practical reading zoom, inspect headings, numbers, and notes, then check every page for missing columns or unwanted blanks.
  3. If needed, revise the print area or page settings in Excel and compare a newly exported copy.

Limitations and requirements

  • Setting both width and height to one page can make a large table unreadable.
  • Print-area settings can persist in the workbook and affect later printing. Record the original setting if you need to restore it.
  • PDF conversion does not guarantee that recipients cannot edit the file. Review the actual information being shared.
