Windows 11: Organize Your Work with Multiple Virtual Desktops

Choose a practical workflow
Separate windows into two desktops when you want to write without closing the browser. Organize individual windows if an application supports several. Names such as Research and Writing make their roles clearer than numbers. These are not separate user environments and should not be used to conceal private files or login information.
Configure the feature
- Open [Task View] or Win+Tab on the taskbar and select [New Desktop]
Worked example: move from research to writing
- Press Win+Tab and confirm the browser is on the current desktop. Add a desktop and rename it Writing in the desktop list.
- Right-click the editor window on the original desktop and choose Writing as its destination. If dragging instead, check the destination name.
- Switch with Win+Ctrl+Left or Right. Confirm that the browser is usable in Research and the editor in Writing, then write one sentence while referring back to the source.
- When removing a desktop in Win+Tab, check where its remaining windows move. Save editing work inside the application.
Try it out and see the results
Click on the desktop name and change it to "Meeting", "Survey", etc., then drag the app's title bar to another desktop in the task view. Switch with Win+Ctrl+←/→, and only the intended window will be displayed on each desktop.
Create two desktops, one for "work" and one for "meetings," with notepad open on one and browser on the other. Switch with Ctrl+Win+left and right arrows, and move the window with [Move to] in the task view. An X on the desktop moves the app inside without closing it.
You can also right-click the reduced window you want to move in Task View and select the desired desktop from [Move to]. Switching to the meeting desktop before screen sharing makes it easier to find the materials you plan to share. However, it is not a function to keep notifications and app contents secret, and the selection of windows to share is done on the meeting app side.
Separate tabs, windows and work areas
Create Research and Writing desktops in Task View. Put a browser in Research and the editor in Writing. After moving a window, confirm it is absent from the original desktop and its document remains available on the destination.
Organize by task rather than app name. Separate research and meeting browser windows when their roles differ. To place browser tabs on different desktops, first split them into separate windows through the browser. Desktops do not automatically organize tabs inside an application.
Distinguish switching, quitting and screen sharing
Switching desktops can leave application processing and audio running. Stop playback in the application when you need quiet. Closing a desktop moves its windows to another desktop; save and close the applications themselves to finish work.
Distinguish Alt+Tab, which selects a window within its configured scope, from Win+Ctrl+Arrow, which switches desktops. Use Win+Tab for an overview when unsure where to look. During meetings, check whether you share an application window or an entire screen and preview how desktop switching changes the audience view.
Recover windows and prepare the next work session
Use Win+Tab to inspect each desktop and move the window back to the appropriate work area. Showing windows from every desktop in the taskbar or Alt+Tab can weaken the separation. Review those display choices under Multitasking settings.
Before adding more desktops, close unnecessary apps. Save drafts and record URLs or filenames needed tomorrow before closing windows. Writing task status in a desktop name does not save a work record. Preserve files and notes as documents and use desktops to assist presentation.

Turn it off and restore the previous setup
Select [Close] on unnecessary desktops using Win+Tab. The open app will be moved to the next desktop without being lost.
Limitations and requirements

- If the settings are fixed on an organization-managed PC, check with the administrator instead of using unofficial methods to circumvent the policy.
Frequently asked questions
Does closing the desktop also close the document?
Even if you close the virtual desktops, the open apps will move to another desktop. This is different from closing the app.
Can I use it as a separate account?
This is a function that separates the work screens of the same Windows user. User accounts and access rights are not segregated.
Can each desktop use a different signed-in Windows account?
These work areas exist within the same Windows sign-in session. Separating files and permissions for different users requires a user-account design. Do not treat virtual desktops as access control.
Does separating windows reduce PC load?
Organizing their display location does not automatically stop running applications. To reduce load, actually quit unused applications or stop their work.
